Everything the front desk, doctors and billing need

One system from booking to payment, designed around how Cayman clinics actually work instead of US Medicare rules.

Scheduling

Day view per doctor, appointment types, walk-ins, check-in and check-out, and a missed-appointment list. Start the visit from the appointment.

Cayman patient records

Districts instead of US states, P.O. Box and KY1 postcodes, Cayman ID, passport or work-permit numbers, employer, and insurance cards with a verified date.

Visit notes in minutes

One screen for history, vitals with out-of-range alerts, exam, ICD-10 diagnosis, plan, charges and prescriptions. Sign, then amend with a full trail.

Charges from your own fee schedule

Import your price list, search thousands of CPT and local codes in seconds, and keep favourites one click away.

Payments in KYD and USD

Cash, card, bank transfer and cheque at the fixed 1.20 rate, automatic allocation to open charges, printed receipts and a day-end summary.

Dashboard that shows the money

Insurance A/R by insurer and age, unbilled visits, claims close to the filing limit, today's takings and provider productivity.

A claims engine for Cayman insurers, not US clearinghouses

Late SHIC claims can be denied, and the patient can't be billed for them. CayPractice puts every claim on a board with its own filing clock so nothing ages out unnoticed.

  • Per-insurer claim forms
Print-ready claim forms and CSV batches for each insurer's portal, email or paper process.
  • SHIF pricing and the patient gap
Allowed amounts from the SHIF schedule or insurer-specific fees, with the patient's share worked out at checkout.
  • 180-day clock
Days left shown on every claim, amber at 30 days, red when expired, and a dashboard count of claims over 150 days.
  • Remittances and write-offs
Post insurer payments, partial payments and denials, and write off late-filing balances properly.

Ready for the 2027 MOH reporting changes

The Ministry of Health is moving controlled-drug returns to one row per prescription, piloting with the 2026 Q4 return and required from 2027 Q1. CayPractice captures every required item as the prescription is written.

Prescription safeguards

  • No repeats on controlled drugs
  • Day limits with a written reason to exceed them
  • Early-refill warnings
  • Handwritten scripts logged with the pad serial

Quarterly returns in one click

  • Per-prescription return (xlsx or CSV)
  • Earlier quarterly template, filled in
  • Clinician registration codes on every line
  • Review list for the Chief Medical Officer

Data protection by default

  • Password plus authenticator code for everyone
  • Role-based access and a full audit log
  • Encrypted in transit and at rest
  • Built around the Data Protection Act

Switching from a US billing system?

Questions clinics ask

Which insurers does CayPractice support?

All nine insurers approved by the Health Insurance Commission: Aetna, BAF Insurance, Cayman First, CINICO, Coral Isle, Guardian Life (GLOC), PALIG, Cayman Integrated Healthcare, Island Heritage. Each insurer's submission method, filing limit and currency is set up as data, so changes don't need new software.

How does SHIF pricing work?

CayPractice includes the Standard Health Insurance Fees schedule. For SHIC claims it prices each line at the lesser of the SHIF fee and your clinic's fee, and shows the gap the patient owes. Enhanced plans can use insurer-specific amounts.

Can it produce the Ministry of Health controlled-drug return?

Yes. Every prescription records the data items in the 2026 MOH data guide, and CayPractice exports the new per-prescription return as well as the earlier quarterly template, with a review list of anything flagged.

We use a US billing system today. Can you move our data?

Yes. Migration of patients, insurers, fee schedules and open balances is part of onboarding, and we can run both systems side by side for a month before you switch.

How is patient data protected?

Every user signs in with a password and a code from an authenticator app. Access is by role, every action is audit-logged, and data is encrypted in transit and at rest. The platform is built around the Cayman Islands Data Protection Act; your clinic remains the controller of its patients' data.

What do we need to run it?

A web browser. CayPractice runs on clinic PCs, laptops and tablets with nothing to install.
